Payment & Cancellation Policy

This payment, cancellation, and terms policy applies to all bookings made through ARBA Travel & Tours Sdn Bhd ("ARBA Travel"). Payment schedules, deposit amounts, and deadlines vary by destination and package type — please refer to the tables below for details specific to your booking.

1. Deposit Payment

A booking shall only be deemed confirmed upon receipt of the required deposit, as specified in Table 1.0, Table 1.1, and Table 1.2 (as applicable), and the issuance of an official invoice by ARBA Travel.

The full required deposit must be paid at least 100 days before the departure date, failing which ARBA Travel reserves the right to cancel the booking without further notice.

Any payment made in an amount less than the required deposit shall be treated as non-refundable.

2. Second Payment

Certain destinations and travel arrangements require partial payment to be made in advance. Such payments must be settled strictly by the stipulated due date, which may be up to 100 days prior to the departure date, as specified in Table 1.0.

Failure to complete this partial payment by the stipulated due date may lead to booking issues, including delays or cancellations, without liability on the part of ARBA Travel.

3. Full Payment

Full payment can be made in instalments. However, the entire outstanding balance must be settled in full by the stipulated due date, which may fall 30, 45, or 60 days before departure, depending on the destination (refer to Table 1.0, Table 1.1, and Table 1.2 for details).

Failure to complete full payments by the stipulated due date may result in booking delays, amendments, or cancellations, and ARBA Travel shall bear no liability for any losses or consequences arising therefrom.

4. Open Date Trip Confirmation

The final travel date confirmation must be submitted in writing via email to cs@arbatravel.com and shall be deemed valid only upon written acknowledgment by ARBA Travel.

• Final travel date confirmation must be received no later than 45 days prior to the intended departure date.
• Any request for confirmation received within 45 days prior to departure will only be accepted strictly at ARBA Travel's discretion.
• Any request for confirmation received within 30 days prior to departure shall not be accepted.

Reservations are subject to the latest seat availability and updated package pricing. If your selected date falls under a Peak Season or requires Last Minute Surcharge, any applicable price difference must be paid.

5. Late Booking Surcharge & Last Minute Surcharge (Private Tour & Self Tour only)

Late Booking Surcharge: A non-refundable fee of RM50 per booking will be applied for reservations made less than 45 days prior to the departure date.

Last Minute Surcharge: This additional charge may apply to your package price for bookings made close to the departure date, varying by destination and package type. This surcharge is refundable according to our standard cancellation policy. Refer to the Product Catalog Itinerary for details.

Both the Late Booking Surcharge and the Last Minute Surcharge (if applicable) will be included in your final package price based on the number of days remaining before departure.

6. Payment Timelines by Destination

Payment schedules, deposit amounts, and deadlines vary according to destination and package type, including Group Tour, Private Tour, and Self Tour.

Customers are responsible for referring to the relevant pricing tables and Product Catalog Itinerary for accurate and up-to-date payment requirements.

In the event of any inconsistency, the Product Catalog Itinerary shall prevail.

For trip cancellations arising from Force Majeure events, refer to Notes Section 6.5 and Section 8 of the Terms & Conditions.

7. Complimentary Gifts & Promotions

All complimentary gifts and promotional discounts are strictly limited to bookings that are fully confirmed within a designated Booking Period specified by ARBA. Any booking activity occurring outside the designated Booking Period — including the addition of pax, amendments to travel dates, or conversion to open dates, or any change or conversion of package type (including but not limited to a change from a Group Tour (GT) to a Private Tour (PT)) — shall not be entitled to or carry forward any complimentary gifts or promotional discounts under any circumstances.

The non-acceptance or non-utilisation of any complimentary gift or benefit shall not give rise to any right of refund, price reduction, or claim against the Company.

Cancellation Policy

All cancelled bookings are subject to the cancellation policy, except for cancellations arising from Force Majeure events, including but not limited to natural disasters, subject to supplier and airline policies.

Any refundable amount (if applicable) will be credited to the customer's bank account within 7 working days after the trip cancellation request is accepted.

* For trips occurring in the following year (cut-off date 1st of January for the following year), the payment is fully refundable. Subject to the ground arrangement conditions and specific airline policies.

** Refundable Deposit and Refundable Subsequent Payment refer to any payments made by the Customer for a specific trip in the current year or the following year.

Changing / Modifying Trip Date

Any changes or modifications to the trip package, including changing the trip date, will incur a fee as per Table 3.0.
